1. Information We Collect
We only collect information strictly necessary to provide fast, reliable canteen wallet services and point-of-sale functionality:
- Student & Guardian Information: Student Name, Student ID / Roll Number, Class/Grade/Department, Parent/Guardian Name, and Mobile Number for communication and SMS/WhatsApp payment receipts.
- Transaction Records: Recharge amounts, date and time of recharge, unique Razorpay Order IDs, Payment IDs, payment status (Success/Failed), and canteen item purchase logs.
- Device & Usage Data: IP address, browser type, operating system, and access timestamps when using the portal.
Payment Data Security Commitment:
Billwise POS does NOT store or collect your Credit/Debit Card numbers, CVV, Net Banking passwords, or UPI PINs. All payment transactions are securely redirected and processed through Reserve Bank of India (RBI) authorized payment aggregators (Razorpay Software Private Limited) conforming to PCI-DSS Level 1 compliance standards.
2. Purpose of Data Collection
We process collected data strictly for the following purposes:
- To enable parents and guardians to recharge student canteen balances conveniently online.
- To facilitate instantaneous checkout (under 3 seconds) at school and college canteens via RFID cards, barcodes, or Student IDs.
- To generate and deliver automated transaction receipts to parents.
- To enforce safety controls such as daily spending limits and immediate card freezing if an ID card is lost.
- To maintain accurate accounting records, reconcile payments, and resolve billing inquiries.
3. Information Sharing & Disclosure
We treat your data with strict confidentiality. We do not sell, rent, or lease personal data to third parties. Information is only shared under the following conditions:
- Authorized School/College Administration: Relevant canteen purchase history and balance summaries are accessible by authorized school staff and canteen billing operators.
- Payment Processors (Razorpay): Transaction details are shared securely with Razorpay to authorize and settle payments.
- Legal Requirements: If required by Indian law, court order, or government authority to comply with regulatory mandates.
4. Data Security
We implement robust technical and managerial safeguards to protect your personal information:
- All web traffic between your device and our servers is encrypted using 256-bit Transport Layer Security (SSL/TLS).
- HMAC-SHA256 signature verification is strictly enforced on all payment callbacks to prevent unauthorized tampering.
- Access to student data is restricted to authenticated authorized institutional personnel.
5. Data Retention
We retain transaction records and wallet data for the duration of the student's enrollment in the respective educational institution, and thereafter as mandated by applicable Indian financial and tax compliance laws.
6. Your Rights
Parents and students possess the right to:
- Check student wallet balance and transaction history at any time.
- Request immediate locking/freezing of their student wallet card in case of loss or theft.
- Request wallet balance settlement upon graduation or exit from the educational institution.
